Gmail and Google Calendar Hacks 101


In the spirit of productivity, take a look at some of our favorite Gmail and Google Calendar Hacks. Let us know in the comments if you have any to add! These hacks work best for Mac users.


Gmail Hacks

Colorfully label your Gmail inbox.

  • Go to your Settings.

  • Click the Label tab and create all your desired labels.

  • Once created, adjust the color on the left-hand of the screen by clicking the three dots to the name of the label and changing the Label Color.

Know and use your keyboard shortcuts.

  • Command + K creates a hyperlink.

  • Command + Enter sends an email.

Use the Gmail Undo feature to retrieve emails you didn’t mean to send.

  • Go to your Settings.

  • In the General tab, scroll to the Undo Send feature and set the desired cancellation period.

Quickly clean out your email subscriptions.

  • Search “unsubscribe” in your inbox.

  • This will find all mailing lists you are on as they are required to have an unsubscribe option.

  • Go through each email, scroll to the bottom and click unsubscribe.

  • Click the three horizontal lines to the left of the Gmail logo in the top left-hand corner of your inbox.

  • Go to your Settings.

  • Click the Advanced tab.

  • Enable Right-side chat.

Find or propose a new time for an event.

  • Click on the event from your calendar.

  • Click the arrow in the bottom right corner of the pop-up window.

  • Click propose new time and find a team that works for all participants.

Transfer ownership of an event.

  • Click on the event from your calendar.

  • Click the three vertical dots in the top right of the pop-up window.

  • Scroll to the very bottom and click “change owner” to select a new owner.

  • Go to your Calendar Settings.

  • Click on a specific calendar on the left sidebar.

  • Scroll down to the “General Notification” sections.

  • Select “Email” on the Daily Agenda dropdown.

Create appointment slots for people to schedule time on your calendar.

  • Block off time on your calendar and choose “Appointment Slots” for the event type.

  • Set the duration of the slots.

  • Send the link in the blocked off time to anyone you’d like to schedule an appointment.
