The Role

We are looking for our first Executive Assistant to join the Will Reed team! Reporting to our CEO, you will provide outstanding daily support and strategy. This is a perfect role for someone who takes initiative, is intuitive, and thinks strategically. You will play a key role in helping the CEO to execute on strategies, build relationships and maintain outstanding organization. We are looking for someone who thrives when they are helping others, loves paying attention to detail, and enjoys planning carefully and meticulously. This EA role is an exciting and crucial role for Will Reed. You will also get to work with an extremely fun, passionate, genuine team! This role will be based in Dallas, TX, where Will Reed is Headquartered.

The Responsibilities

  • Oversee daily operations through collaboration with CEO and senior management, performing an array of administrative tasks from handling schedules, attending meetings and calls, maintaining team communications, and ensure execution of action items and follow-ups
  • Build presentations, create meeting agendas, maintain detailed meeting notes, and provide excellent meeting preparation and follow up
  • Research and arrange travel and provide ongoing support as needed
  • Handle projects and communication by providing status updates and ensuring that cross-functional partners are included in meetings and communications
  • Partner with cross functional teams to plan and execute meetings, offsites and other events
  • Coordinate landmark celebrations for both internal Will Reed employees and clients

The Requirements

  • 5+ years of work experience supporting at the senior executive level
  • Experience managing calendars, planning and organizing
  • Strong written and verbal communication skills
  • Flexibility beyond standard office hours
  • Ability to adapt to changing priorities with excellent time management skills
  • Positive relationship management skills and the ability to effectively collaborate with a diverse set of partners
  • Demonstrate discretion and integrity when working on confidential business and organizational issues
  • Demonstrated presentation skills, with an ability to express high-level concepts efficiently and effectively to a wide range of audiences
  • Strong project management skills
  • Experience with Google-Suite (Gmail, Calendar, Docs, Slides, etc.) preferred
